AEC is committed to maintaining an ethical workplace where employees, volunteers, and stakeholders feel empowered to report concerns about unethical behavior, fraud, or violations of laws or policies. Reports can be made anonymously and without fear of retaliation. To submit a concern, please contact AEC's administrative team via admin@aeclinic.org. All reports are thoroughly investigated and addressed promptly while maintaining confidentiality to the extent possible.
AEC retains all organizational documents exclusively through secure online repositories with encrypted backups to ensure safety and accessibility. Physical document storage is not utilized.
Documents are retained in compliance with applicable laws, regulations, and best practices for non-profit organizations.
When documents are no longer needed, they are permanently and securely deleted following established retention schedules.
This commitment to security reflects our daily practice towards responsible records management and data security.
AEC prioritizes transparency and fairness in decision-making. Board members and employees must disclose any potential conflicts of interest that may arise in their roles.
A conflict of interest occurs when an individual’s personal, financial, or other interests could compromise or appear to compromise their ability to act in the best interest of the organization.
Disclosures are reviewed and documented by AEC's Executive Director
If a conflict arises, the individual must recuse themselves from related discussions or decisions.
This policy ensures that our operations uphold the highest ethical standards.
AEC is an equal opportunity employer. AEC prohibits discrimination and harassment of any type and affords equal employment opportunities to employees and applicants without regard to race, color, religion, sex, sexual orientation, gender identity or expression, pregnancy, age, national origin, disability status, genetic information, protected veteran status, or any other characteristic protected by law. The policy of equal employment opportunity (EEO) applies to all aspects of the relationship between AEC and its employees, including: hiring, employment, promotion, termination, training, wages and other forms of compensation, employee benefits, and application of policies.
If an employee has questions regarding equal opportunities in the workplace, the employee is encouraged to reach out to their supervisor, AEC’s Executive Director, or a member of AEC’s Board with whom the employee is comfortable. If an employee suspects that the EEO policy has been violated, the employee should report the matter in accordance with the Open Door Policy, as defined and detailed in our employee handbook.
The policies and principles of EEO also apply to the selection and treatment of independent contractors, personnel working on our premises who are employed by temporary agencies and any other persons or firms doing business for or with AEC.
